1、Unit SevenUnit SevenIntercommunication Intercommunication C CorrespondenceorrespondenceTask ObjectiveTask ObjectiveIn this unit you will learn how to write intercommunication correspondence,especially e-mails.通信,顾名思义,主要指人与人之间进行的信息交流与传递。通信对于科学实践是至关重要的,其方式多种多样,包括书信、邮件、备忘录、网络论坛、博客等。目前运用最广的方式即邮件(e-mail)

2、,本单元将着重讲解它的编写。Task ObjectiveTask Objective邮件主要包含以下因素:1.主题(Subject line)简短概括本邮件的主要内容2.开头(Beginning)对收件人的称呼3.正文(Body)邮件的主要内容,首段需表明来信人身份、来信目的等4.结尾(Ending)表示感谢并署名,署名后可继续标注出职位、机构、地址、电话号码等联系方式,以方便收件人联络5.附件(Attachment)希望对方查看的各类文件邮件内容多样,根据收件人和内容的不同,邮件中使用的语气、格式亦会不同,一般情况下建议采用正式(formal)的语气编写。需要注意,教授、学校或其他机构每天都

18、on of your real name,not a username or nickname.Use periods,hyphens,or underscores to secure an e-mail address thats just your name,without extra numbers or letters,if you can.For instance:Use a short and accurate subject header.Avoid saying too much in the subject header,but make sure it reflects t

19、he content of your e-mail to a person unfamiliar with you.If possible,include a keyword that will make the e-mail content easier to remember and/or search for in a crowded inbox.For example,“Meeting on March 12th”is specific enough that the e-mail topic wont be mistaken for anything else but not so

20、specific as to be distracting.To write a formal e-mail,follow these guidelines.Use a proper salutation.Addressing the recipient by name is preferred.Use the persons title(Mr.Mrs.Ms.or Dr.)with their last name,followed by a comma or a colon.Optionally,you can precede the salutation with“Dear.”(but“He

21、llo.”is acceptable as well).Using a last name is more formal and should be used unless you are on first-name terms with the recipient.If you dont know the name of the person youre writing to(but you really should try and find one)use“Dear Sir/Madam”or“Dear Sir or Madam”followed by a colon.Introduce

22、yourself in the first paragraph(if necessary).Also include why youre writing,and how you found that persons e-mail address,or the opportunity youre writing about.Example:My name is Earl Rivers.Im contacting you to apply for the administrative assistant position listed on CareerXYZ.com.To write a for

23、mal e-mail,follow these guidelines.Write the actual message.Be sure to get your point across without rambling;if its fluffed up,the reader may glance over the important details.Try to break up the message into paragraphs by topic to make your message more logical and digestible.You can use link word

28、l,follow these guidelines.Proofread your message for spelling and grammar.If your e-mail provider doesnt already provide spelling and grammar options for you,copy and paste your e-mail into a word processor,then revise it if necessary,and copy and paste it back into your e-mail.Regardless of whether

29、 you are writing an e-mail for a job,a position or a review,remember that your written communication must represent your abilities and character well.Using an appropriate tone is essential:Consider your language carefully so you do not come across as arrogant,overconfident,or too demanding.In virtua
