A User is an email address plus some Pr

6、eferences, such as I always want HTML emails, and, optionally, some Attributes (my name is Bob, I m a Pastafarian). A List is a grouper around some theme. It has Messages and Members. A User may be a Member of (or Subscriber to) multiple Lists. If you Import Users, from a CSV file for example, you h

7、ave the option of automatically adding them to any of your Lists. This Many-to-Many between Lists and Users (each List may have many Users; each User may belong to many Lists) may seem odd, but, say you have a Club, Local Specials, and Kids Club mailings. Well, you could setup these three Lists and

8、allow your Users to Subscribe to any or all of your Lists they wish. Many sites using phpList only have one List, and all Users should be Members of that, so it seems odd, this extra flexibility. You ll find that you can customize messages fairly well to remove any possible confusion for you or your

9、 Users. MESSAGES & TEMPLATES Now the other side of the system, Messages & Templates. A Message is a single email (event) sent to the Members of one or more Lists (yes, targeting multiple lists is allowed) A Message may use a Template or you may enter the Message Content in a one-off fashion, enterin

10、g your HTML directly. A Template must contain a CONTENT Placeholder. This defines an area within 4 your email design that will be filled with the Message Content, allowing you to have a consistent look to your pages, while the content changes with each mailing. Other Placeholders allow you to includ

11、e a unique URL for each User that allows them to change their Preferences or Unsubscribe. You may also use any of the optional Attributes you defined. SYSTEM BEHAVIORS Here are a few built-in behaviors of phpList. By design, a single Message is only sent to any User once. By default Users do not rec

12、eive Messages until they Confirm their List membership. (as an Admin you are able to override this) This means that as soon as they sign-up for a List they receive a Confirmation Request (email). They must then click the link that was included in the email to acknowledge and agree to List membership

13、. 5 LOGGING INTO THE SYSTEM AS ADMIN Log on to the server: www.bali-phplistadmin 6 MAIN ADMIN PAGE This is the first page to come up after you log in. System Functions Setup Doesnt need to be dealt with unless a whole new configuration is required. 7 Dbcheck This is simply a maintenance check to mak

14、e sure the database is in the right structure and there are no problems with it. You would normally only need to use this if something isnt working or the system is showing a dbase failure error message. Eventlog Simple shows any activity thats happened in the system logons, system runs, mailouts et

15、c. Normally only used if there is a suspicion of someone hacking the system or changing something they shouldnt have. 16、evant Spage This is the main subscription page. See Subscription page under Configuration instructions List and user functions List A list of all the current mailing lists. So if there was a Club mailing list, a past guest mailing list and a prospective list then you would use this to see all those

17、lists and manage them. Users A user is essentially an email address and that email address or user may belong to or subscribe to a number of different lists. This section enables you to find, sort, delete, edit or add new users. Reconcile users This is a cleanup area for users. It enables you to del

18、ete duplicates, clean out old users, clean out users whose email address is bouncing etc. 8 Import This is where you import a list of new users from, for instance, and excel spreadsheet. Export This is where you export the current dbases or user lists to a text file or excel spreadsheet. You might u

19、se this for instance if you want to download to send a mailmerge hardcopy letter through Word. Administrator functions Admins This is where you can add new admins, edit or remove admins. An admin owns a particular mailing list. SuperAdmins can see and access all mailing lists but normal admins can o

20、nly access the list they “own”. This allows you to have multiple admins who are responsible for different lists so one person might be responsible for past guests, a different person for travel agents etc. They cant access one anothers lists so there is no chance of them sending a message to the wro

21、ng people. Admin attributes You can set attributes for particular admins which are included in all lists for that admin. So for example if all lists managed by the sales department require a Sales Executives name then this can be entered as something that they must make sure is always on their lists

22、. It is not necessary for this section to contain anything and most of the time would be unnecessary. Message Functions Send This is where you construct the message you want to send out type it in, format it, choose a template and choose who you want it sent to. Templates Templates handle the format

23、ting of the message the fonts, colours, headers and footers. There is a standard template already set up. Others can be set up see Configuration templates. Messages This section simply lists all messages that have been sent Processqueue 9 This is important. After you construct the message in “Send”

24、you MUST “process queue” in order to physically send out the messages. Processbounces Sometimes messages bounce and here you can resend the message to those who bounced. Bounces This section simply lists those messages that bounced. Bouncing means the users mail server sent back an error message tha

25、t the email could not be sent. This can happen for many reasons both permanent and temporary it could be that their mailbox is full, that their mail server is temporarily malfunctioning or it could be that they have cancelled that email address. 10SENDING OUT A MESSAGE PHPlist allows you to send a m

26、essage to list(s) of users (see What are lists and users? ) In addition to being a simple mailing list system, PHPlist allows you to send targeted messages using criteria. These criteria use the attributes and attribute values given by users (see What are attributes? and what are values? ) You can i

27、nclude these values in the messages to make these messages more user-specific by using placeholders (see What is a placeholder? ) You can create templates for your future messages (see What is a template? ) Once your messages are sent, you can view messages, view statistics on how many messages were

28、 sent, how many of them were opened by users, how many users clicked links provided in the messages, etc. (see Message Statistics) BASIC RULES To send a message using Phplist, there are a minimum of four rules to follow: 1. You have to have a message to send: you can t send an empty message! So the

29、Message Content tab must be appropriately filled in. 2. You have to choose one or several lists you will send the message to. So you must choose at least one list in the Select Lists tab. 3. Do not forget to click on Save changes when you go from one tab to the next. 4. You have to process the messa

30、ge queue to actually send out the message. At any point, you can send a test message to see what the actual message would look like. Note: whenever you send a test message, none of the rules above apply. It is highly recommended to send yourself test messages if you are unfamiliar with Phplist. Plea

31、se note that a test message will not take into account any Criteria, but it will replace placeholders by the values of the file of the user specified in the address field. TIPS 1. Always send yourself a test message before sending our your message. This is particularly true if you send out complex m

32、essages with PLACEHOLDERS and/or HTML formatting. 2. Try using placeholders whenever you can. This is useful to make your emails more user-specific. 11SEND A MESSAGE 12 This is the central feature of Phplist (see Message functions). There are several options to send a message using phplist, dependin

33、g on your needs. For the documentation pages, we will replicate the division by tabs you can find in the send a message page: Content tab Format tab Attach tab Scheduling tab Criteria tab Lists tab Misc tab We will begin with the Content tab. 13Send a Message: Content tab ? Subject: empty field This

34、 corresponds to the Subject of your message/email. You cannot use placeholders here. ? From Line: empty field If you click on the question mark ( ? ), you will understand how this field can be appropriately filled in: You can use three different methods to set the from line: One word: this will be r

35、eformatted as the_ For example: information will become , if is the domain in your configuration. In most email programs this will show up as being from Two or more words: this will be reformatted as the words you type For example: list information will become list information , if listmaster is the

36、 default address for the system administrator (see your configuration). In most email programs this will show up as being from list information Zero or more words and an email address: this will be reformatted as Words For example: My Name will become My Name In most email programs this will show up

37、 as being from My Name It is important to choose your from line wisely, as anyone who wishes to reply to the message will reply to this address. Current setting admin balibali- which is presented as admin The text of the message / Using placeholders ? Message. empty text field You can write or paste

38、 your message in this text field. You can use PLACEHOLDERS which will be replaced by the appropriate values for each user. Click on the question mark ( ? ) for the list of placeholders which you can use on your system. 14 For example if you have an attribute First Name put FIRST NAME in the message

39、somewhere to identify the location where the First Name value of the recipient needs to be inserted. To send the contents of a webpage, add the following to the content of the message: URL:http:/www.example.org/path/to/file.html You can include basic user information in this URL, not attribute infor

40、mation: URL:http:/www.example.org/userprofile.php?email=email Example: Imagine your system contains the following attributes: First Name, City, Favorite food. You can send a message formatted like this (please respect the formatting style): Hello FIRST NAME, You live in CITY and you like to eat FAVO

41、RITE FOOD. Well we have just what you need! Please pick up your e-invitation URL:http:/ If you wish to change your settings, please click on: PREFERENCES Once this message is sent, the placeholders are replaced by values for each user, for example: Hello John, You live in Bigtown and you like to eat

42、 Spaguetti with meatballs. Well we just have just what you need! Please pick up your e-invitation http:/ If you wish to change your settings, please click on http:/ Message Footer. Use UNSUBSCRIBE to insert the personal unsubscribe URL for each user. Use PREFERENCES to insert the personal URL for a

43、user to update their details. This is self-explanatory. The default message footer is defined in your system configuration. In your message, you are free to do what you wish with your message footer: keep it, delete it, change it. Test message Send test message button to email address(es): empty fie

44、ld (comma separate addresses - all must be users) 15 This feature allows you to send a test message to the email addresses typed in the empty field (use commas to separate addresses). All email addresses must correspond to a user in your system. This feature is particularly useful if you have comple

45、x messages with several placeholders, links or HTML formatting. What you see is not necessarily what you get, so send yourself a test message to see what the message looks like. The placeholders will be replaced by the values in the file of the user who will receive the test message. If the user is

46、John Doe, and you send John Doe the test message, the placeholder NAME will be replaced by. John Doe. Note: you will receive automatically two test messages: one in plain text, one with HTML formatting. When you send the message normally, users will only receive one version (the one they prefer/you

47、chose for them). Save changes button DO NOT FORGET TO SAVE CHANGES by clicking on this button before proceeding to the other tab(s). 16Send a Message: Format tab Description ? Send As: HTML radiobutton text radiobutton Text and HTML radiobutton This allows you to choose the format of the message (HT

48、ML/text only/both). Please note that depending on the options you have offered on your subscribe page, your users will have been able to choose messages in either text and/or HTML format. For most emails, it is recommended to select Text and HTML. You can find additional explanations when you click

49、on the question mark ( ? ): If this message has been formatted in HTML, indicate how you want to send it: HTML : HTML to users who have indicated that they want to receive their emails in HTML format, and text to everyone else text - text-only to everyone text and HTML - One big email that contains both the HTML and the text only format (larger emails, but more likely to work for most users) 17 Test message Send test message button to email address(es): empty field (comma separate addresses - all must be users) This feature allows you to send a test message to the email addresses typed in t
